  • Overview

    Provides overall administrative support for the Executive Office team and assists with activities related to the UNFCU Foundation and Corporate Social Responsibility initiatives.   Ensures optimal execution of day-to-day administrative tasks, projects and events within the department. Responsible for upholding the Credit Union’s commitment to provide quality service and represents the Credit Union in a positive and professional manner at all times. 

    Responsibilities

    • Assist the Director, Executive Operations and team of Executive Administrators with a variety of administrative tasks as requested.
    • Coordinate meetings, teleconferences and videoconferences, inclusive of room reservations, catering arrangements and technical requirements. Record and transcribe minutes as requested.  Provide post-follow-up support as required.
    • Assist with various travel, conference, and off-site meeting arrangements. Prepare travel itineraries and meeting schedules as directed. 
    • Assist with the preparation and distribution of correspondence, reports, presentations and other business documents as assigned.
    • Create and maintain databases, spreadsheets and various official directories. Create simple and some intermediate database queries as needed. Prepare reports utilizing data derived from these databases and spreadsheets.
    • Answer/screen incoming telephone calls/emails and respond to moderately complex inquiries. Escalate more complex calls and emails to the appropriate department personnel.
    • Utilize the Internet to research information as requested. Present findings in a professional manner.
    • Prepare expense reports as requested.
    • Maintain and enhance executive central files and records in compliance with record retention rules and practices. Maintain administrative procedures to ensure consistent performance of routine duties.
    • Assist with special projects and event planning and execution.
    • Order and monitor executive office supplies as needed.
    • Provide back-up assistance to the Executive Administrators in their absence.
    • Participate in UNFCU training programs.
    • Perform any other function required by the Executive team members as needed.

    Qualifications

    TYPE & AMOUNT OF EXPERIENCE:

    • Associate’s and/or Bachelor’s degree (or some college coursework completed) and 2-4 years of administrative support experience in an office environment

     

    TECHNICAL COMPETENCIES:

    • Knowledge of standard office procedures
    • Computer proficiency with intermediate skills in Microsoft Outlook, Word, Excel and PowerPoint
    • Proficiency in Adobe Professional a plus

    In addition to any specific job requirements in connection with Bank Secrecy Act and/or OFAC (BSA), employee must (i) be aware of BSA matters commensurate with the position; (ii) report any suspicious activity to the manager or compliance department; and (iii) satisfactorily complete any required BSA training.
